Basic Application Documents Requirements

One of the most common mistakes that many students make when submitting their applications has to do with the documents.
We have made a summary with some important observations about how to correctly prepare your application files.
*Original documents that are not in either English or Chinese must be translated to either of these languages.
1. Passport

- First two pages, including personal information page. It is recommended to scan the first 10 pages if you have travelled to China before.
- Information in the application form must exactly match with passport information. ***Special attention to last name and given names; last name = surname = family name, first name = given names.***
- If you are taking a photo of your passport, make sure there are no light reflections, blurry or dark areas where information is not readable.
2. Photo

- Same requirements as for Chinese visa.
- Must be recent, taken in last 6 months.
- Size: 2-inch photo
- White background, color photo (black and white photos unacceptable).
- Format: JPEG, 100-500 KB
- Other considerations: photo must show full facial features clearly and completely. No glasses, no hats or anything that will obstruct the view of these features.
3. Highest Academic Degree Certificate

- Your full name in the graduation certificate must match the one on your passport.
- If original is not in English or Chinese, you must provide a notarized translation to one of these two languages along with the original.
- Certificates downloaded online are not accepted unless the institution provides a certificate or clarifies they have the same validity as original paper ones.
4. Official Transcripts

- If your highest academic level is high school, provide official transcripts of last three years.
- If you have completed any superior education level (associate, bachelor, masters, PhD), provide official transcripts of all years coursed in this level.
- Official transcripts usually must have the institutions logo, stamp and signature of one or more representatives.
- Transcripts downloaded online are not accepted unless the institution provides a certificate or clarifies they have the same validity as original paper ones.
- Students who have not graduated yet at application time, must provide a pre-graduation certificate issued by current institution mentioning expected date of completion.
- If originals are not in English or Chinese, you must provide a notarized translation to one of these two languages along with the originals.
5. Non-criminal Record Certificate (6 months validity)

- Also called “Police Clearance Certificate” in some countries.
- Issued by student´s country´s police department or other government institution in charge.
- Personal information on this document must match your passport data.
- Must be in English or Chinese; if not, notarized translation is needed.
6. Language Proficiency Test

- Students applying for a degree level program taught in Chinese must provide a HSK test certificate, preferably level 4 and up.


- Students applying for an English taught program must provide an English proficiency test certificate. The most accepted are IELTS and TOEFL.
- Other certificates may be considered and will be evaluated on an individual basis. For example, certificates from American language centers.
7. Physical Examination Form (6 months validity)


- Download the “Foreigner Physical Examination Form” from your UniApply account’s application section.
- The form must be filled by a doctor after making the relevant tests in any hospital or medical center.
- Relevant tests include: blood test, electrocardiogram, thorax X-ray scan.
- Personal information on the form must match passport data.
- Use same photo size for visa purposes, do not leave spaces on the photo section. After attaching your photo, have the doctor stamp on top of it.
- The form must be signed by the doctor and stamped with the medical center´s official stamp (same one on the photo).
- Note: in case stamps are not used in your country, have the doctor write a clarification note for this on the stamp section and sign it.
8. Letters of Recommendation

- Must be from teachers or professors from your most recent education center, which gave your highest academic degree certificate.
- Must contain institution´s letterhead, teacher/professor name, position, contact information, signature and official stamp.
9. Personal statement / motivation letter / study plan

- This document is an opportunity to present yourself. Some of the aspects you want to consider in the content are:
10. CV/Resume

- Include photo and personal details.
- Education background: include from high school up until highest academid degree obtained.
- Work experience: if any, add at least last three experiences.
- Awards: any recognitions obtained at the academic or professional level can add points to your application.
- Skills: important to mention language skills if you have multiple ones beside your mother tongue. Other skills and hobbies can also be included to show you are an integral individual.
